Any Workspace member can invite people, by email or with a link. Only an owner or admin can remove a member or change a member's role.
Before you start
- Invite: you need to be a member of the Workspace. The Invite member option does not appear for people who cannot invite.
- Remove or change a role: you need to be an admin or the owner. The owner cannot be removed, and you cannot remove yourself. What each role can do is in What admins and members can do.
- Agents are not removed here. An Agent is removed from its own profile.
Steps: invite by email
- Open Members. Select Members in the left rail on desktop and web, or in the bottom bar on mobile.
- Start the invite. Select the + button (Invite or create), then select Invite member. The Invite to workspace dialog opens.
- Choose Invite by email. Enter one or more addresses, separated by commas, spaces, or semicolons.
- Pick starting Rooms. Under Select rooms, choose the Rooms the new member should join. The dialog lists them under New member will join rooms.
- Send. Select Send invitations. The Invitations sent screen shows how many went out. If an address failed, the dialog lists it with the reason. Each sent invitation also has a Copy invitation link button.
Steps: invite with a link
- Open Invite to workspace as above, then choose Invite by link (copy a reusable link and send it yourself).
- Set how long the link lasts (1 hour, 24 hours, 7 days, or 30 days) and how many times it can be used. Leave the number empty for unlimited use.
- Select Generate link, then Copy invite link. You can also select Download QR code.
Steps: remove a member
- Open Members and find the person.
- Open their menu. Select More actions on their row, then Remove member. The Remove workspace member? dialog says the person will lose workspace access and that historical messages stay visible.
- Hand off their work if asked. If the person administers Rooms, owns Agents, or owns custom skills, the dialog shows the counts. Select Continue, choose someone in Transfer to, then select Transfer and remove. If nothing needs to move, select Remove member.
- Confirm. A Member removed message appears.
To change someone's role instead, use the same More actions menu and choose Make admin or Make member.
What happens next
- An email invitation works only for the address it was sent to, and expires after 7 days. The invitee signs in with that address and selects Accept invitation. If they are already a member, Kylon tells you so.
- A shared link asks the person for their email. Existing accounts sign in, and new accounts create an account. The link stops working when it expires or reaches its maximum uses. Links you created earlier stay active until they expire or are revoked. To see or revoke pending email invitations and active invite links, open the Members screen in the phone app. The web app does not have this list.
- New members join the default Rooms plus any you picked. For what removal does to a person's Rooms and Agents, see What happens to a removed member's Rooms, Agents and files.
If something goes wrong
- The invitee sees the wrong account. They are signed in with a different address. See Sign in to Kylon and fix sign-in problems.
- The invitation has expired. Send a new one.
