CRM data entry

Nobody was hired to update records. Let the agent write them.

CRM data entry is the work of turning what happened, a call, an email, a signed document, into fields on a record. It is the part of the system nobody owns, and the part that decides whether anything built on top of it is true.

The entry
Entered by hand
Written by an agent, approved by you
After a call
Someone opens the opportunity, moves the stage, retypes the next step and sets a reminder. Often the next day, often partly from memory.
The agent reads the call notes and the calendar event, proposes the stage move and the next step with the sentence it came from, and waits for approval.
After an email thread
The reply is logged with a BCC address or an extension, and the substance of the thread stays in the mailbox.
The thread is read in full, the fields that changed are written, and the follow up email is drafted next to the record it belongs to.
A new contact
Typed from a signature or imported from a list, then enriched from public sources if enrichment was configured.
Created from the thread that introduced them, with the company, the role and the source of each field visible before it lands.
Cleaning up a stale record
Someone runs a report of records untouched for 30 days and works through them.
The same request is kept as a scheduled run, and the proposed corrections arrive in the room as one approval.

What the agent reads before it writes a field

The mailbox and calendar you connected, the room thread where the work was discussed, the files attached to it, and the CRM record itself. Each proposed field change shows the source it came from, so a wrong value can be traced instead of argued about.

How it works

  1. 01

Connect the mailbox, the calendar and the CRM to the room.

  2. 02

Ask once: keep these accounts current after every call and email thread.

  3. 03

The agent proposes the field changes with the source next to each one.

  4. 04

One person approves, and the records are written into the CRM you already run.

  5. 05

Keep it as a scheduled run so the same pass happens without being asked again.

What Kylon does not do

It does not write to the CRM without an approval, and it does not invent a value it could not read. If the thread does not say when the deal closes, the field stays empty and the agent says so.

Questions people ask

What is CRM data entry?
It is the work of turning what happened into fields on a record: the stage, the next step, the contact, the close date. It is usually done after the fact by the person who was on the call.
Can CRM data entry be automated without losing accuracy?
The accuracy question is about review, not about automation. An agent that writes a field and shows the email line it came from is easier to check than a teammate's memory of a call last Tuesday.
Do we need to replace our CRM?
No. Connect the CRM you already run and the agent writes into it. The records stay where your process lives.
What happens when the agent is not sure?
It leaves the field alone and says which part it could not determine. A blank field is recoverable, a confidently wrong one is not.

The record is only worth what the entry is worth.

Let an agent read the mailbox and the thread, write the fields with their sources, and wait for one approval.
