Kylon vs Zoho CRM

Zoho suggests. Kylon writes it and waits for your approval.

Kylon is a workspace where agents sit with the team, read the thread and the tools you connected, and hand back the records, the dashboard and the email draft for one person to approve.

01 Which one is the right answer

Not every team should pick the same one.

Zoho CRM is the right answer when

A small team wants a wide, configurable CRM with rules, blueprints and an assistant inside it, and someone is willing to set those rules up. Zoho covers a lot of ground for that team.

Kylon is the right answer when

The work starts as a message, the context is a mailbox thread and a set of records, and nobody wants to maintain the rules that would have caught it. The result comes back to the same room for a person to approve.

How each one works

Every statement about Zoho CRM below cites Zoho's own product pages or documentation. Checked 2026-09-16.

Where the work happens
Zoho CRMThe interface has a sidebar for navigation and configuration and a main pane that changes with the selected module. Teams keep data in organization or team modules, and related records such as emails, notes, deals and activities are reached from a record's Related List menu.Source: Navigating the Zoho CRM interface, Zoho Help
KylonThe work happens in the room where the team already talks. The ask, what the agent read, and the records it produced are one thread rather than a set of modules to move between.
Who keeps the records current
Zoho CRMUsers create and maintain records in modules. Zoho describes Zia as gathering further detail about leads and customers from the internet using the information supplied, extracting information from email signatures, and using intelligent character recognition to create or update records from images.Source: Zia, AI in Zoho CRM, Zoho
KylonAn agent reads the mailbox, the calendar and the thread you granted it, then writes the contact, the company and the deal stage as a proposed change you can see before it lands.
Activity from email
Zoho CRMZoho says Zia recognises meeting and task details in email and can add them as CRM activities, captures events, notifies the user, suggests the corresponding activities and synchronises them with the CRM calendar.Source: Intelligent emails with Zia, Zoho CRM
KylonThe mailbox thread is read as part of the same request that produces the records, so the follow up email is drafted next to the record it belongs to rather than suggested separately.
Approving what the assistant does
Zoho CRMZia's workflow suggestions can be reviewed, modified or converted into active rules by a user. Separately, an approval process submits matching records to named approvers, who approve or reject before configured follow up actions such as field updates, tasks, notifications, webhooks or functions run.Source: Adding Approval Process, Zoho Help
KylonApproval is the shape of every run, not a rule you configure per process. The records, the dashboard and the email draft arrive in the thread behind a single approve control.
Reaching email and calendar
Zoho CRMA user configures Gmail, Zoho Mail, Yahoo or Outlook in CRM through IMAP or POP3 when email integration is enabled for their profile, after which SalesInbox appears in CRM. Google Calendar synchronisation requires the CRM permission and Google authentication, then a choice of one way or two way sync.Source: Zoho SalesInbox, Zoho Help
KylonThe mailbox and calendar are workspace connections the agent reads directly, and outbound email comes back as a draft card in the thread rather than a send.
What setting up automation takes
Zoho CRMA workflow is created in Setup or described through Ask Zia. Manual setup means selecting the module, defining the trigger and conditions, and attaching immediate or scheduled actions such as owner assignment, field updates, tasks, meetings, calls, email notifications, tags, custom functions and webhooks.Source: Configuring Workflow Rules, Zoho Help
KylonYou describe the outcome in the room. If it should repeat, the same request is saved as a scheduled or event driven run, and its output stays in the room.

What Kylon is for

Kylon is the layer where the work is asked for and approved. It reads the tools you already run, including a CRM, and returns records, dashboards and drafts into the conversation that produced them. Being a broad configurable CRM suite with its own modules and rule engine is a different job, and Kylon is not that product.

Questions people ask

Do we have to leave Zoho CRM?
No. Connect the account to the room and the agent reads and writes through it, so the records stay where your team already works.
How is this different from Zia suggesting a field?
A suggestion still needs a person to open the record and apply it. Kylon writes the change and the follow up email together and asks once, in the room where the work was discussed.
Does anything send on its own?
No. Email is drafted for a person to send, and anything that changes a record outside the room waits for approval.
