Agents can prepare work, but some actions only happen after a person decides. Kylon shows these decisions as cards in the conversation. An outgoing email, message or X post is a draft until a person selects Send. Publishing an App or giving an Agent ongoing access to a Connection waits for an approval.
Before you start
- To act on a draft card, you need access to the Connection it sends from, such as the connected email account. If you do not have it, the card only shows who created the draft and when, with no buttons.
- An approval card is addressed to a specific person. You may see a card that is for someone else without being able to act on it.
- A reply in chat does not replace the card. Approve or reject on the card itself.
Review a draft card (email, message or X post)
- Read the card. For email, check From, To, Cc, Bcc, Subject, the message and any attachments. The status reads Draft. For an X post, check the connected X account it will post from.
- Change or discard it if needed. Select Edit, change the text, then select Save. To drop it, open More draft actions and select Discard draft. This removes the draft for everyone who can access it and cannot be undone.
- Send it. Select Send. A confirmation asks Send this email? (or Send this message?) and says it cannot be undone. Confirm with Send. For an X post the confirmation reads Publish this post to X? and the button is Publish. Where scheduling is offered, the arrow next to Send gives Send now and Schedule send.
- Check the result. The status becomes Sending, then Sent, or Scheduled if you chose a time. If it says Delivery needs verification, check Gmail, Outlook, LINE or X before trying again, because the message may already have gone out.
Deleting an X post works the same way. The card reads Delete post, and the confirmation asks Delete this post from X?
Review an approval card
- Read the proposed action and its scope. The card says what the Agent wants to do. Actions that have approval cards include: publishing an App, changing who can open an App, creating an Agent, connecting an Agent to a Connection, inviting members, sharing a file publicly, assigning or removing an Agent email address, starting a phone call to you, and deleting a Room. Every card also has a Reject option with an optional reason.
- Approve or reject. Select the approve or reject control on the card. Some cards offer wider choices under More approval options. Pick the narrowest one that fits. The card records your choice, for example Approved or Rejected, with a reason if you give one.
- Check the outcome. A card on screen does not mean the action happened. Look for the completion message in the conversation.
Example: publishing an App draft
When a draft preview is ready and you have write access to the App's Room, its preview card shows Publish. Selecting it opens Publish app draft?. Choose who can open the App after publishing: Only room members can access this app, Everyone in this workspace can access this app, or Anyone with the link can access this app. Then select one of the publish buttons.
The dialog offers three publish choices: Publish draft publishes once and keeps asking next time. Publish and allow for 24 hours lets the Agent publish without asking for the next 24 hours. Publish and always allow lets the Agent publish without asking until you revoke it. Leave ongoing permission off to keep reviewing every publish. When the Agent asks to publish on its own, it sends an approval card titled Publish app draft? with the same buttons: Publish draft, Publish and allow for 24 hours, Publish and always allow, and Reject.
If something goes wrong
- You cannot publish. Publishing needs write access to the App's Room.
- A newer build replaced the preview. Open the latest preview and publish from there.
- You want to stop an ongoing approval. Select Revoke where it is listed. After that, the message reads "Future app changes now require your approval."
- You rejected a card. Nothing happens. Tell the Agent in the thread what to change.
