Running many shops at once

What an agency keeps on top of each shop.

Six records your team keeps per client. Agents keep them current from each brand's shop and your own sheets.

01 · Scope and access

Know what you can do for each client.

Contracted services, shop and ad access, budget caps and approvers, per client.

  • Anything outside scope goes to the client contact first
  • Each client authorises its own shop, for its own space only

You approve: What needs client sign-off.

02 · Goals and reports

One set of numbers with every client.

Goal, how it is counted, spend, actuals, forecast and the gap.

  • Weekly client reports drafted from those same numbers
  • Each report reads only that brand's data

You approve: Each report before it goes out.

03 · Deliverables and approvals

Nothing stuck waiting on a client.

Videos, lives and campaigns with version, status and due date.

  • Overdue client approvals chased for you
  • Rework counted per client

You approve: Final versions.

04 · Creators and live

Creators, hosts and live schedules across clients.

Creators, hosts, editors and ad buyers, with live schedules and hours per client.

  • A client growing faster than your team can staff is flagged
  • Live recaps from the numbers you export

You approve: Schedule changes.

05 · Client P&L

Find the clients you are losing money on.

Service fee and performance pay against staff hours, production and subcontract costs, per client, every month.

Income

  • Service fee
  • Performance pay

Costs

  • Staff hours at each role's rate
  • Production and subcontracts

Pass-through

  • Ad spend and creator commission
  • Samples and shipping

Each pass-through line is marked as paid by the client, advanced by you, or included in your fee, so money you pass through is never counted as your income or cost.

06 · Shared library

Reuse creators and assets, not client data.

Category, past deals, price, results, and which client may use each asset.

Paste this into Kylon
We are a TikTok Shop agency. Set up our client work in Kylon with me, one step at a time, and show me each result before you move on.

1. Clients: I will list our clients and the services we run for each (shop operations, affiliate program, creators and live, ads). Create one space per client.
2. Connect: for each client, connect their TikTok Shop with their authorization, plus our Gmail, Google Sheets and Slack. If we use Kalodata or FastMoss, connect those too.
3. Scope: from each contract, record the services, shop and ad access, budget caps and who approves on the client side.
4. All clients view: every Monday, show each client's GMV against goal, deliverables waiting on the client, and our margin on the account.
5. Client P&L: use our fee schedule, staff hours sheet and cost sheet to work out monthly margin per client. Mark ad spend, creator commission, samples and shipping as paid by the client, advanced by us, or included in the fee.
6. Reports: every Friday, draft each client's weekly report from that client's data only.

Rules: never send anything to a client, change a shop or make a payment without my approval. Keep each client's data in its own space.

Questions agencies ask

Which TikTok Shop partners is this for?
Agencies that run shops for brands (TikTok Shop Partner, TSP), affiliate agencies that match brands with creators (TikTok Shop Affiliate Partner, TAP) and creator agencies that manage hosts and creators (Creator Agency Partner, CAP). Most agencies do several of these; the page works for any mix.
Is this a TikTok Shop management agency tool?
Yes. It covers the work a TikTok Shop management or marketing agency does each week: per-client shop work, client reports, deliverables, creators and live, and profit per client.
How do clients connect their shops?
Each client authorises its own TikTok Shop. Agents read orders, affiliate videos, creators and samples for that shop only. Listings, promotions and in-platform invites stay with your team in Seller Center.
Does this replace TikTok Shop Partner Center?
No. You keep managing shop access and partner tasks in Partner Center. Once a client authorises its shop in Kylon, agents read that shop's data for the work on this page.
Where do staff hours and costs come from?
From the sheets you already keep: your fee schedule, staff hours and cost sheet in Google Sheets. Live schedules and live numbers come from your schedule and exports.
Can clients see each other's data?
No. Each client has its own space. You decide who on your team works on which client, and you can invite a client to their own space only.
How much does it cost?
