# Cross-Channel Adaptation: One Source Post, Three Channels, Every Rule Applied

Source posts are adapted for Facebook, LinkedIn and X under one channel policy, published after approval and re-derived when the hashtag cap tightens, an image is pulled or a link domain is blocked. X posts wait as drafts a person sends.

## One announcement, three channels and three sets of rules

Content marketing writes a source post once: a product update, a webinar, a customer story. Social turns it into a Facebook post, a LinkedIn post and an X post, each under the channel policy for length, hashtags, links, images and timing. The source posts and their adaptations live in Airtable, each adaptation with a follow-up tier that tells the community team how closely to watch the replies.

Then the rules change while posts are in flight. The X hashtag cap drops from three to two. Brand sends a bulletin pulling an image from use. A link domain is blocked after a partner's site has a problem. Each change hits some adaptations and not others, scheduled Facebook posts need their text and time fixed in the right order, and the people who asked for a confirmation want it on their own thread.

## Who works in the room

People

- Social media manager

Owns the channel policy, approves every adaptation and sends each X post

- Content marketers

Write the source posts and ask for a confirmation when theirs are set

- Brand team

Issues image bulletins and decides when a link domain is blocked

- Community lead

Confirms follow-up tiers and watches the replies

Agents

- NovaChannel adapter

Turns each source post into one adaptation per channel under the policy and re-derives them when a rule changes

    AirtableGoogle Drive

- FinChannel publisher

Schedules approved Facebook and LinkedIn posts, fixes scheduled posts in order and leaves X posts as drafts

    FacebookLinkedInX (Twitter)Airtable

- RyanRequester confirmations

Drafts confirmations on the threads that asked for them and picks up requests from Slack

Adaptations run through a single Kylon room. Nova is the default agent and does the adapting, so a question about whether a post fits on X goes to Nova. Fin publishes, because the social manager granted the Facebook and LinkedIn connections to Fin, and it drafts X posts as the person it is working for. Ryan writes back to requesters. When a batch is approved, Nova hands it to Fin in the thread with each adaptation's channel, time and tier.

## A week of adaptations, source to close-out

The channel policy, the image bulletin and the blocked-domain notice sit in a Google Drive folder, and the room guidelines say which version applies.

| Stage | What happens | Who acts | Who decides |
| --- | --- | --- | --- |
| Adapt | Every source post becomes one adaptation per channel, proposed in the thread and written to Airtable once approved | Nova, from Airtable | The social manager approves each adaptation |
| Publish | Facebook and LinkedIn posts are scheduled, and X posts become drafts | Fin | The social manager approves, and a signed-in person sends each X post |
| Follow-up tiers | Each published post gets a follow-up tier for the community team | Nova | The community lead confirms the tiers |
| Summary check | The weekly summary is checked against Airtable and the channels, line by line | Nova | The social manager corrects the summary |
| Hashtag cap and image bulletin | X adaptations are re-derived under the new cap, and Facebook posts using a pulled image are fixed in order | Nova, then Fin | The social manager approves each change |
| Blocked domain | Every adaptation linking to the blocked domain is re-derived on every channel | Nova, then Fin, with Ryan for the confirmations | The social manager approves; a person sends each confirmation |
| Close-out | One record per channel, with the channel named exactly Facebook, LinkedIn or X | Nova | The social manager approves the three records |

Stages of one week of cross-channel adaptation. Posts, caps and channels in this example are illustrative.

## When the hashtag cap tightens or a domain is blocked

A tighter X hashtag cap re-derives every X adaptation, not only the ones still waiting. Nova rewrites each one that now breaks the cap and shows the before and after in the thread. Drafts already waiting in X are replaced with the new text for a signed-in person to send. Facebook and LinkedIn results stay as they are unless the bulletin or the blocked domain touches them too.

The channel policy fixes the order for a scheduled Facebook post that needs a change: update the text, then reschedule, then publish it as scheduled, so the post never goes out with old words at a new time. Fin proposes the three steps for each affected post and runs them in that order after the social manager approves. Ryan then drafts the two confirmations on the threads that asked for them.

## What the checks catch

- An X adaptation still carrying three hashtags after the cap drops to two
- A scheduled Facebook post fixed out of order, so old text could publish
- A post linking to the blocked domain that was fixed on one channel and missed on another
- A close-out record whose channel is not named exactly Facebook, LinkedIn or X
- A confirmation drafted as a new email instead of on the thread that asked

## What stays with people

- Approving every adaptation before anything is scheduled
- Sending each X post, which Fin leaves as a draft
- Pulling an image or blocking a domain, which brand decides
- Sending the confirmations Ryan drafts, and signing the close-out

## Integrations in this workflow

Kylon is not a social media management suite and it does not replace one. It sits across Airtable and the three channels and holds the coordination from source post to published post.

- Airtable

- Facebook

- [Gmail](https://kylon.io/integrations/gmail)
- Google Drive

- LinkedIn

- [Slack](https://kylon.io/integrations/slack)
- X (Twitter)

- **Airtable** holds the source posts, each adaptation, its status and its follow-up tier
- **Facebook** carries the Page posts, scheduled after approval and fixed in order when a rule changes
- **LinkedIn** carries the company page posts, scheduled after approval
- **X (Twitter)** holds each post as a draft until a signed-in person sends it
- **Google Drive** keeps the channel policy, the image bulletin and the blocked-domain notice
- **Gmail** carries confirmations to requesters on their own threads, sent by a person from Ryan's drafts
- **Slack** is where requesters drop source posts and ask about timing

## Where to start

A single week of source posts is the right first cycle. Connect Airtable and the three channels to the room. The room guidelines start with one rule: nothing is scheduled on Facebook or LinkedIn until the social manager approves, and every X post waits as a draft for a person to send.

> “One source post, three channels, and a rule change that touches only some of them. That is a normal week.”

## Set it up with your agent

Open a new Room, add your agent and paste this prompt. It connects the tools, builds the App with you and asks for your rules one step at a time, and nothing goes out until a person approves it.

Set-up prompt

Set up our cross-channel adaptation desk in this Room. Take it one step at a time and wait for my OK before you move on.

1. Connect Airtable, Facebook, Gmail, Google Drive, LinkedIn, Slack and X (Twitter). Tell me which ones still need connecting.
2. Ask me who works this desk: the social media manager, the content marketers, the brand team and the community lead. Help me invite them to this Room.
3. Build a Channel Adaptations App with Source, Adapted, Approved and Scheduled columns, one record per adaptation per channel, with the channel named exactly Facebook, LinkedIn or X.
4. For each source post, propose one adaptation per channel under our policy in Google Drive. Check each adaptation for hashtag cap, image use, link domains and follow-up tier. Show me anything that fails before writing it to Airtable.
5. When a rule changes, re-derive every affected adaptation and show the before and after in the thread. For any scheduled post that needs a fix, propose the steps in order: update the text, then reschedule, then publish. Leave every X post as a draft for a person to send. Draft confirmations on the original threads that asked for them and wait for a person to send each one.
6. The social media manager approves every adaptation and every fix before anything is scheduled. A person sends each X post and each confirmation. The community lead confirms the follow-up tiers. Write this approval order into this Room's guideline.
7. After each clean week, offer to turn the weekly summary check into an Automation.

Before you start, ask me for our rules one at a time.
