AI CRM

# Every CRM has AI now. You are still the one typing.

A CRM costs what it costs to maintain, not what it costs to license, and the maintenance is a person. So sort this category by how much of the upkeep the software does, and who signs off when it does it.

[Kylon room: two agents update the CRM and send the reply, with the Sales CRM tab open beside the conversation](https://kylon.io/mocks/ai-crm-room-mobile.html)

Two agents in one room: one proposes the record changes, one sends the reply, and one approval covers both. Open the Sales CRM tab to read the same records as a table or a dashboard. The frame is live, so click it. Illustrative data.

This scene runs on the Sales CRM app

The same pipeline, already built: leads with their own status, one click conversion into account, contact and opportunity, and six stages.

[See the app](https://kylon.io/apps/crm)

Most teams reading this already pay for one: [Salesforce](https://kylon.io/alternatives/salesforce), [HubSpot](https://kylon.io/alternatives/hubspot), [Pipedrive](https://kylon.io/alternatives/pipedrive) or [Zoho](https://kylon.io/alternatives/zoho). Ranking them against each other is not the useful exercise. These three questions are, and they apply to whichever one is already installed.

## Three questions to ask of any of them

1. ### Who enters the data

After the call, someone opens the record and types what happened. An assistant that drafts a summary has not changed who is holding the keyboard.

2. ### Who reads across the tools

Most of the truth about a deal is in a mailbox thread, a shared document and a chat, not in the CRM. Ask what the software can read without a person pasting it in.

3. ### Who signs off on a change

The two common answers are a person applying every suggestion by hand, and a rule running silently. A third is possible: the software writes the change and one person approves it, with the source next to it.

CRM data entry

## Nobody was hired to update records. Let the agent write them.

CRM data entry is the work of turning what happened, a call, an email, a signed document, into fields on a record. It is the part of the system nobody owns, and the part that decides whether anything built on top of it is true.

After a call

Entered by hand: Someone opens the opportunity, moves the stage, retypes the next step and sets a reminder. Often the next day, often partly from memory.

Written by an agent, approved by you: The agent reads the call notes and the calendar event, proposes the stage move and the next step with the sentence it came from, and waits for approval.

After an email thread

Entered by hand: The reply is logged with a BCC address or an extension, and the substance of the thread stays in the mailbox.

Written by an agent, approved by you: The thread is read in full, the fields that changed are written, and the follow up email is drafted next to the record it belongs to.

A new contact

Entered by hand: Typed from a signature or imported from a list, then enriched from public sources if enrichment was configured.

Written by an agent, approved by you: Created from the thread that introduced them, with the company, the role and the source of each field visible before it lands.

Cleaning up a stale record

Entered by hand: Someone runs a report of records untouched for 30 days and works through them.

Written by an agent, approved by you: The same request is kept as a scheduled run, and the proposed corrections arrive in the room as one approval.

| Step | Entered by hand | Written by an agent, approved by you |
| --- | --- | --- |
| After a call | Someone opens the opportunity, moves the stage, retypes the next step and sets a reminder. Often the next day, often partly from memory. | The agent reads the call notes and the calendar event, proposes the stage move and the next step with the sentence it came from, and waits for approval. |
| After an email thread | The reply is logged with a BCC address or an extension, and the substance of the thread stays in the mailbox. | The thread is read in full, the fields that changed are written, and the follow up email is drafted next to the record it belongs to. |
| A new contact | Typed from a signature or imported from a list, then enriched from public sources if enrichment was configured. | Created from the thread that introduced them, with the company, the role and the source of each field visible before it lands. |
| Cleaning up a stale record | Someone runs a report of records untouched for 30 days and works through them. | The same request is kept as a scheduled run, and the proposed corrections arrive in the room as one approval. |

What the agent reads before it writes a field. The mailbox and calendar you connected, the room thread where the work was discussed, the files attached to it, and the CRM record itself. Each proposed field change shows the source it came from, so a wrong value can be traced instead of argued about.

For teams that deliver client work

## Your CRM should not just track client work. It should help finish it.

Agents turn every inquiry into research, proposals, reports and follow-ups, and keep the pipeline current while they do it. Your team approves before anything goes out.

The inquiry arrives

How it goes now: Someone copies it into the CRM later, if the day allows it

With an agent on the record: The agent opens the record from the mail or the form and writes down what was actually asked

Research

How it goes now: Five tabs and a colleague who answered this last quarter

With an agent on the record: The agent reads the company, your history with them and the thread above, then posts what it found in the room

The proposal

How it goes now: Last quarter's document, renamed

With an agent on the record: A draft written against this brief, with the numbers taken from the record rather than retyped

The report

How it goes now: Assembled by hand the night before the call

With an agent on the record: Written from the same record every agent shares, on the schedule you set

Approval

How it goes now: Approval happens when someone remembers to ask for it

With an agent on the record: The draft waits in the thread, with the evidence and the approve control in the same place

Delivery, and the record

How it goes now: The record is updated last, or not at all

With an agent on the record: Sending is the same step that writes the stage, the note and the next task

| Step | How it goes now | With an agent on the record |
| --- | --- | --- |

## Questions people ask

### What is an AI CRM?

A CRM where the software does the record keeping rather than helping a person do it faster. The practical test is who enters the data, what the software can read outside the CRM, and whether a person approves a change before it lands.

### Is an AI CRM different from a CRM with AI features?

Yes, and the difference is who is holding the keyboard at the end. Lead scoring, call summaries and drafted replies are AI features. Writing the stage change and the contact record, then asking one person to approve, is the category shift.

### Will AI replace the CRM?

The record store is not the part under pressure. What changes is who maintains it, which moves from the person who was on the call to an agent that proposes changes for review.

### What happens when the agent is not sure?

It leaves the field alone and says which part it could not determine. A blank field is recoverable, a confidently wrong one is not.

### Do we have to migrate off our current CRM?

No. Connect the CRM you already run and the agent reads and writes through it. The records stay where your process lives.

### What does the best AI CRM for a small business look like?

For a small team the binding constraint is upkeep, because nobody is employed to maintain the system. Sort candidates by how much of the entry the software does and how easy it is to check what it wrote, rather than by feature count.

## Keep the CRM you have. Change who updates it.

Connect the mailbox and the CRM to a room, ask for the account to be brought up to date, and approve the records that come back.
